This is case study #9 and involved supporting a large organisation to manage 'start up' or mobilisation of a number of critical long term contracts

Situation

The client did not have the the capacity or capability in-house to manage the mobilisation of a portfolio of high value and critical projects. I was engaged to act as part of the client team to manage mobilisation.

Task

The task was to manage the mobilisation so that the contractors were ready to start the contract on the scheduled start date which was months away. However, there were critical supply chain shortages affecting plant, equipment, vehicles and labour. In addition, the client wanted the transfer of intellectual property including plans, templates and processes.

Actions

Worked as part of client team and managed preparation for mobilisation meetings and the follow up actions for a number of incoming contractors. I also created a mobilisation program in which the scheduled meetings included a 'hero' activity (such as staffing, plant, KPIs, performance regime, risks etc) as well as routine updates against the contractors' own plans.

Result

All of the contracts started on the due date and there were 'teething problems' -of course- but the key risks listed in the risk management plan were treated appropriately. Intellectual property was created and shared with the client. Critically, the discipline of holding contractors accountable for their promises set the tone and culture for when the contracts were 'on foot'.
