This is case study #2 and involves reviewing an organisation's procurement function, identifying opportunities for improvement, proposing alternate solutions and influencing senior stakeholders.

Situation

The organisation wanted a full review of their procurement function, including structure, governance and processes for procurement and contract management. They knew something was not working properly, but stakeholders had differing opinions about what needed to be fixed.

Task

The client commissioned an expert review of their end-to-end procurement function and recommendations for improvement. This required understanding the current situation and the pain points, proposing alternate solutions and gaining stakeholder support for the vision of what could be done differently, including the future organisational design and a roadmap to get there.

Actions

A review of documentation was accompanied by workshops with key stakeholders, including the senior leadership team. There were multiple streams of activity, including governance, processes, systems, structure and capability. The review's recommendations were presented to stakeholders, and their feedback was incorporated in a detailed design for the proposed future state.

Result

The final report included a roadmap for ongoing change with a focus on simplification of governance and clarification of roles. The final report was accepted by the senior leadership team, though some operational stakeholders preferred the status quo.
